2. Apologies received.
3. Approval of minutes of previous (2024) AGM.
Available on the hall’s website, at https://stboswellsvillagehall.org/management/. Should anyone require a hard copy, please ask the secretary.
4. Matters arising.
5. Treasurer’s report (year ending 30 June 2025)
6. Chairperson’s report (year ending 30 June 2025)
7. Reminder from Secretary of OSCR’s new requirements for management committee members/trustees.
8. Review of new Constitution (current revised version available on the hall’s website, as noted above), revised in light of OSCR’s new requirements, for which approval shall be sought at this meeting.
9. Report on works in the hall, including our energy-saving and ‘greening’ initiatives (from members of ‘the energy subcommittee’), plus any routine maintenance/repair works. Note: this must focus on work carried out during the financial year which ended on 30 June 2025. However, an update shall be added to bring us up to the present time.
10. Chair’s announcement: concerning a possible new management team.
At this point 1. The management committee members/trustees, and 2. The office-holders, shall all stand down, a new election being required in each case. The secretary shall take over chairing the meeting until this process – involving re-elections, fresh elections, and resignations – is completed, then hand back to the committee’s chairperson. Anyone interested in becoming a trustee/member of the management committee, or a “friend”, should consult with the secretary in advance of the meeting.
11. Election/re-election/resignation of management committee members/trustees. Everyone present at the meeting may vote in this election.
12. Election/re-election/resignation of the management committee’s office-bearers. This vote is in the hands of the committee members/trustees; see Constitution 21: “The charity trustees must elect (from among themselves) a chair, a treasurer and a secretary”. The committee having resolved to make our bookings clerk/coordinator an officer, the trustees must vote on this also.
13. Recording of names of people who are willing to be “friends” of St Boswells Village Hall. (For an explanation of the role of friends, please see the Constitution, 70 and 71)
